Configure CybSafe's automated login reminders and course completion reminders

💡Please Note: Learning settings will be configured within learning campaigns once we make a few more tweaks under the hood.

Overview

You can use our Learning settings to automate reminders for your users to login to CybSafe for the first time and complete their Learning. There are other settings you may find useful to manage your learning campaigns.

Emails will be automatically sent out once a week leading up to any deadlines set, in the final week this will change to once a day.

You can find your Learning settings, in the Improve behaviours menu > Learning settings.

By default all settings are turned off so you can configure them the way you want when it is time to launch.

Settings

You have the following settings to determine:

  • Automatic invitations - Turn this setting on if you would like your users to receive an email from the CybSafe platform as soon as they are uploaded. If this is turned off you can invite your users manually.

  • Login reminders - Turn this on to chase those users who are yet to sign up.
    Please note these emails will go out to your users as soon as the setting is turned on even if they have not been invited manually or automatically.

  • Send welcome email - Turn this on if you would like your users to receive a welcome email once they have signed in for the first time.

  • Course completion reminders - Turn this on if you would like CybSafe to nudge your users until they have completed their assigned modules. Users will not receive this email until they have logged in to CybSafe and will stop receiving it after they complete their modules.

  • Course start date - You can set when you want your people to start completing CybSafe.
    Please note this setting is only applicable to customer who are not assigning learning using our Learning Campaigns.

  • Completion time frame - Determines how long the reminder emails will be sent out for. Once a user passes this time frame they will no longer receive reminder emails.
    Please note this setting is only applicable to customer who are not assigning learning using our Learning Campaigns.

  • Module to be completed (optional) - Set the number of modules you would like your users to complete during the completion timeframe. Once a user completes the set number of modules they will stop being sent course completion reminder emails.

  • Reset type - Select what date you would like to reset your users course progress from for all modules.
    Please note this setting is only applicable to customer who are not assigning learning using our Learning Campaigns.

  • Send reset notification email - Choose whether to notify your users that they have been reset.

  • Learning campaign grace period (days) - Set the minimum number of days before a user can be asked to redo a particular module via campaigns and workflows.


    You can view any emails sent out in our Awareness Toolkit. Underneath 'Getting started with CybSafe', select 'Automatic learning engagement emails'.

Scheduling

CybSafe calculates the first working day of the week, based on the country code, for example for EMEA clients, this is a Sunday. The emails will only be sent on working days.

The day of the week a user receives an email is not always universal on your account. It will be weekly on whichever date is most recent for the user, from the following:

  • Course start date

  • User created date

  • Account created date

Meaning that if your account was created on a Monday and users are created at the same time, they would receive reminders on a Monday.

If the course start date is the following Tuesday, it will be weekly on a Tuesday.

If a user is created the following Wednesday, that user would receive them weekly on a Wednesday.
